Technical guidance, support and housekeeping.

To help you have a great online experience, this guidance is aimed to prepare you for accessing the virtual conference.

Your best experience to access the Best in Everyone Induction Conference will be through the Microsoft Teams app - download here.

All of the sessions in this virtual event will be delivered through Teams and you will have all of its functionalities through the app.

Keep an eye out for an email from us in your inbox with more details.

The week before the conference, you will receive a unique user login to access the conference. This is a temporary Microsoft account under the United Learning central service account. We do this to enhance your event experience by:

  • Creating your bespoke agenda in the Teams Calendar
  • Offering a networking platform
  • Easily sharing event resources
  • Limiting technical problems

We recommend that you download the Microsoft Teams app and login using your unique user details at least 1 day before the event.

There's nothing worse than logging on to your computer before an online meeting only to find there's an update due or your camera has stopped working!

To get the best experience with video conferencing and have access to all functions, it is advisable to use a computer (PC or Mac) rather than a tablet or mobile phone. We recommend logging on to your device the day before to check the following:

  1. Your system and Teams app is updated.
  2. Your microphone is working.
  3. Your camera is working.
  4. Your audio is working.

Test Call - Microsoft Teams

To make a test call, select Settings and more  Select to see more options  next to your profile picture at the top of Teams and then choose Settings Devices

Choose Make a test call under Audio devices

In a test call, you'll see how your mic, speaker, and camera are working. Follow the instructions from Test Call Bot and record a short message. The message will play back for you. After that, you'll get a summary of the test call, and you can go to your device settings to make changes.

The Microsoft Teams meeting links for each session will be listed in your personalised agenda which will be emailed to you a week before the conference, or accessed using the Teams calendar. Simply click on the relevant link to open the Teams meeting.

Please do not share meeting links with anyone outside of United Learning, attendee lists will be monitored, and non-registered attendees removed.

You will be held in a lobby until the session is ready to start. During this time, make sure you are prepared by having tools to take notes or complete tasks that may be given in the sessions - you view how our workbook can support you. It may also be useful to have a device available to screenshot a task before you enter a breakout room.

We ask that you mute yourself upon entry to avoid feedback/noise that may disrupt the facilitators. You should unmute your mic only when requested. In some sessions, we may limit the functions that participants have, including use of their video or microphone. If you have any concerns about this, please email BiE.Induction@unitedlearning.org.uk

Don't worry, there will be regular breaks throughout the day! We know there is a risk of screen fatigue when joining an online conference, so we want to make the day as comfortable for you as possible.

During breaks and lunch, all sessions will be closed to reduce screen time. Take this opportunity to stretch your legs, make a cup of tea or get some fresh air. This will all help clarify your mind before heading into the next session.

You should have your agenda to hand to remind you when the next session is due to start, please ensure you return from your break to join the session on time - thank you.

We would love to see you at all the sessions we have planned for you, but understand if you have personal commitments that mean you might need to dip in and out of sessions.

The majority of sessions will be recorded and shared on our intranet site United Hub in September. The link to these will be emailed to you once they are available. Sessions that are not recorded will be indicated in your personalise agenda that will be emailed to you a week before the conference.
